Workflows, Chatbots and AI Agents: What does your gym actually need? 

At any industry conference, everyone talks about AI. But there is a basic confusion: not all automation is AI, and not all AI serves the same purpose. Before investing in technology, it is important to understand what each tool actually does.

There are three levels. The key is not choosing the most advanced one, but using the right one for each problem.

1. Workflows: automation without AI

Predefined sequences of steps that trigger automatically after an event. No creativity, but extremely effective for repetitive processes.

Example: A member has not visited the club for 30 days. The system sends an email. If it is not opened within 24 hours, it sends an SMS. If there is still no response, a staff member is notified.

They are the most affordable and reliable tool, and the best place to start. Once configured, they run automatically.

2. Chatbots: customer service 24/7

A chatbot uses AI to hold conversations in natural language. It answers questions using the information you provide, but it does not invent information or act directly on your systems.

Ideal for explaining opening hours, pricing, how to freeze a membership, or which services you offer. Any frequently asked question, at any time, without requiring staff availability.

Its value is not complexity. Its value is availability and consistency. It never has a bad day.

3. AI Agents: decision and action

AI agents go further than answering questions. They reason, make decisions and execute actions across other systems such as CRM, ERP or data platforms. They operate with a defined objective.

Example: An agent analyses which members show the highest risk of churn, combines attendance and behavioural data, and launches personalised retention conversations without manual activation.

They are the most powerful tools, but also the most expensive. They make sense when there is a large volume of data, high variability and a clear impact on the business.

How to combine them in practice

You do not need to choose only one. The same process can include all three. A workflow detects the issue and triggers the first action. If the member responds, a chatbot manages the conversation. If the risk is high, an AI agent personalises the solution. Each tool intervenes where it adds the most value.

Where to start

Start with workflows. They are affordable, immediate and already represent a major improvement compared with manual processes. Once they are running, introduce a chatbot for customer support. When your data is structured and reliable, you can introduce AI agents for the situations where personalisation truly matters.

The most sophisticated technology is not always the best. The best technology is the one that solves your problem in the most efficient way.
